If you're a UK sole trader, you need to keep receipts for every business expense you claim. From 6 April 2026, HMRC's Making Tax Digital for Income Tax Self Assessment (MTD ITSA) requires digital records and quarterly updates from anyone earning over £50,000 in self-employment income. The £30,000 threshold follows in April 2027. Even below those thresholds, a receipt scanner saves hours at tax time.

This comparison sticks to receipt scanner apps, the kind you download to photograph receipts and keep expense records. Accounting platforms and bank-linked tax apps scan receipts too, but they are a different purchase, so they are not here. All ten apps below are on both the App Store and Google Play.

How to read this table:

  • UK tax vs global: PocketReceipt and 1tap receipts are built in the UK. PocketReceipt maps every receipt to an SA103F box and handles CIS; 1tap uses HMRC-style categories and exports a tax form. The other eight are global tools with a generic tax field, capable at capture but with no Self Assessment mapping.
  • Mileage: Only PocketReceipt builds in HMRC's 55p/25p rates. The others that track distance ask you to enter a rate per mile yourself.
  • Made for, exports, offline: Taken from each maker's own site, help centre or store listing. "Not stated by the maker" means we could not find a published answer and did not guess. Expensify's SmartScan reads merchant, date and amount from a photo and files it into an expense report. The individual plan is aimed at one person tracking their own spending; the Collect plan adds company cards, approvals and accounting integrations for teams. It is a global product with a tax field rather than UK VAT logic, and nothing maps to Self Assessment categories.

  • Strengths: Reliable OCR, generous free scan allowance, strong integrations if you later move to accounting software

Best for: Sole traders who already use Zoho apps, or very small teams that need expense reports with a UK VAT field.

Zoho Expense has a UK edition with VAT fields, receipt autoscan, GPS mileage and approval flows. The free plan covers up to three users with 20 automatic scans per user a month, which makes it one of the most generous free tiers here. It is built for expense management inside a business rather than for a Self Assessment return, so there is no SA103F mapping and no CIS.

Best for: Privacy-minded users who want an open-source, offline app and are happy to type in totals on the free tier.

Smart Receipts is open source and offline first: the free version lets you photograph receipts, enter the details by hand, build expense report folders, log trips and export PDF, CSV and ZIP reports. AI receipt recognition, email forwarding and cloud backup arrive with the paid Pro plan. Nothing is UK-specific.

  • Price: Free: manual receipt entry and basic reports. Pro at $12.99 a month or $99.99 a year adds AI recognition and backup. Max at $17.99 a month or $139 a year adds bank connections for the US and Canada (Smart Receipts, September 2026).
  • Strengths: Open source, data stays on the device, unlimited storage, mileage log, no ads on the free tier
  • Limitations: Automatic reading of receipts is paid only, no VAT or SA103F logic, no accountant access beyond exports

5. Receipt Scanner: Easy Expense

Best for: General expense tracking with a polished app, if you do not need UK tax structure.

Easy Expense is one of the most downloaded receipt apps anywhere, and it is genuinely well made: fast OCR, tidy expense reports, offline scanning and a mileage tracker. The catch for UK sole traders is that it is a US-built, global tool. There is no SA103F mapping, no CIS, and the mileage tracker asks you to set your own per-mile rate.

  • Price: Free: 10 receipt scans and 2 expense reports a month. Starter at $7.99 a month for unlimited scans and reports. Professional at $23.99 a month adds bank connections, extra users and automated mileage (Easy Expense pricing, September 2026).
  • Strengths: Polished app, huge user base, offline use, unlimited scans on a modest paid plan
  • Limitations: US and global, no SA103F, no CIS, no HMRC mileage rates built in

6. SparkReceipt

Best for: International freelancers who need receipt and document scanning across currencies, with an accountant seat included.

SparkReceipt scans receipts, invoices and other documents, supports many currencies and languages, and includes GPS or manual mileage. The paid plan includes three users, which the maker describes as you, your accountant and your partner. It offers a VAT or GST field where applicable, but no UK Self Assessment mapping.

Best for: UK sole traders who want cheap, basic scanning with HMRC-style categories.

1tap receipts is UK-built and speaks HMRC's language: auto categorisation, a tax form export and Self Assessment guidance for trades such as plumbers, builders and taxi drivers. It is a simple scanner with cloud storage tiers; VAT support sits on the top plan, and mileage tracking is not listed.

  • Price: Free account. Prime Lite at £2.99 a month or £14.99 a year with 100 automatic scans a year. Prime Pro at £4.99 a month or £49.99 a year. Prime Max at £119.99 a year with unlimited scans and VAT support (1tap, September 2026).
  • Strengths: UK categories, tax form export, low starting price, plenty of storage

Best for: Individuals who want a low-cost scanner with long record retention on the paid plan.

Foreceipt is a straightforward receipt and expense tracker with a mobile app and a web portal. Every plan scans receipts, imports bank transactions and tracks tax, though its tax framing is North American. The free plan is a taster: 100 receipts in total, deleted after 12 months.

  • Price: Free: up to 100 receipts kept for 12 months. Individual at $5 a month, 200 receipts a month with 7-year retention. Business at $12 a month with unlimited receipts (Foreceipt pricing, September 2026).

Best for: Anyone with a backlog of paper who wants to post it off and have it digitised, mainly in the US.

Every plan includes unlimited mileage tracking and audit-ready reports. There is no free tier, and the envelope service and pricing are built around the US market.

Best for: Personal or household spending, and anyone who likes logging expenses by voice.

Receiptix reads merchant, amount, date and line items from a photo, or takes an expense by voice or typing, then categorises it and charts your spending. Shared projects let a couple or a group track a shared pot, there is an Apple Watch app and a Chrome extension. It is a spending tracker rather than a tax tool: no VAT logic, no mileage and nothing aimed at HMRC.

  • Price: Free to start, including the first expenses, categorisation, charts and sync. Pro at $8.99 a month, $69.99 a year or $99.99 for life, listed on its App Store page (September 2026).
  • Strengths: Fast AI reading including line items, voice entry, shared projects, Apple Watch
  • Limitations: Personal focus, no VAT or tax mapping, no mileage, offline use not stated

How MTD ITSA changes how you keep receipts

August 2026 update: the first MTD ITSA quarterly deadline (7 August) has been and gone, the next one is the Q2 update, due by 7 November 2026. If you're in MTD and your July to September receipts aren't digital yet, that's the date to work back from. Step-by-step help: your MTD quarterly update.

From 6 April 2026, sole traders with qualifying income above £50,000 must keep digital records and submit quarterly updates to HMRC under Making Tax Digital for Income Tax Self Assessment. The £30,000 threshold follows in April 2027. That changes which features in a receipt scanner actually matter.

Three things become non-negotiable under MTD:

  • Real-time digital capture. Paper receipts and end-of-year shoeboxes don't satisfy MTD. Every income and expense entry has to be in your software within the quarter it falls in, so the receipt scanner has to fit your actual day, not a once-a-month admin session.
  • HMRC SA103F category alignment. Quarterly updates report against HMRC's standard self-employment categories (Box 17 Cost of goods, Box 20 Car & travel, Box 21 Rent & rates, Box 23 Phone & office, Box 28 Accountancy, Box 30 Other expenses). Apps that auto-map to these boxes save hours at quarter end.
  • Export to MTD-recognised software. A pure receipt scanner doesn't submit to HMRC by itself, you'll either pair it with MTD-compatible bookkeeping software or hand exports to your accountant. CSV / PDF export quality is what determines whether that handover takes 5 minutes or 5 hours.
